Job Description

Performs administrative and office support activities as assigned by the Director, Corporate Events and Executive Assistant to the CEO, using a variety of project management, communications or organizational skills.

Essential Functions & Responsibilities

  • Manages calendar entries, edits and reviews.
  • Schedules meetings, appointments and provide scheduling options.
  • Assists with corporate events, hosted or co-hosted by the CEO and/or the CEO office.
  • Coordinates travel, arranges complex and detailed travel plans and itineraries pertaining to the CEO office, compiles documentation for travel related meetings.
  • Composes routine and confidential correspondences, memos, transcribes notes, researches and creates presentations and other complex documents.
  • Conducts research, and compiles and creates reports, handles multiple projects, monitors invoices and expense reports.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings as assigned by the CEO office.
  • Makes copies of correspondences or other printed materials, and distributes as needed.
  • Sensitivity to confidential matters is required.
  • Complies with and/or adheres to HIPAA policies and procedures.
  • Ensures integrity of data entered into company systems and/or databases.
  • Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain reasonably regular, punctual attendance consistent with the ADA, FMLA, other federal, state, and local standards, and company attendance policies and procedures.
  • Ability to come to work and work the regular schedule and shift for the position.
  • Compliance with all personnel policies and procedures.
  • Perform additional duties and related essential duties as assigned

Required Education and Experience

  • Minimum of 5 years of experience in senior administrative position or above with events assistance or coordination background.  Experienced in working with executives or in the executive offices.
  • Bachelor’s Degree or additional work experience above the minimum 5 years as Senior Admin Assistant.
  • Highly proficient in Ms. Office (Outlook, Excel, Word, PowerPoint).
  • Must be detail oriented, highly organized, able to prioritize various work and meet deadlines, under pressure and under minimum or limited supervision.
  • Able to manage and handle complex calendars.
  • Well experienced with travel management or arrangements.
  • Excellent communication skills, both verbal and written.
  • Available outside of normal business hours (including evenings or weekends, if or as needed).
  • Available to travel when needed for events or meetings.
  • Professional, trustworthy, discreet and able to handle highly confidential and sensitive documents and information.
